Privacy Policy
Last updated 27 October 2026
This Privacy Policy explains how Cliniqo, a product of Foxwel.AI based in Mangaluru, Karnataka, India ("Cliniqo", "we", "us"), collects, uses, shares and protects personal data when you visit cliniqo.ai, send us an enquiry, or when a dental clinic uses the Cliniqo platform. It is written to meet the Digital Personal Data Protection Act, 2023 ("DPDP Act"), the Information Technology Act, 2000 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011.
1. Two Different Roles
On this website, Cliniqo is the Data Fiduciary for the details you send us through the enquiry form or by email.
Inside the Cliniqo platform, each clinic that subscribes is the Data Fiduciary for its patients' and staff's data. Cliniqo acts as a Data Processor and handles that data only on the clinic's documented instructions, under a separate agreement with the clinic. Patients who want to access, correct or erase their health records should contact their clinic first. We will support the clinic in responding.
2. What We Collect on This Website
- Enquiry details you give us: name, clinic name, phone number, email, city, number of branches and your message.
- Basic technical data such as browser type, device and pages visited, used to keep the site secure and working.
We do not use advertising trackers on this website and we do not sell personal data.
3. What the Platform Processes for Clinics
Depending on the modules a clinic uses, the platform may process patient identity and contact details, family links, appointments, dental charts, case sheets, prescriptions, consent forms, X-rays and documents, invoices and payments, membership details, ABHA numbers and addresses, and insurance claim information. Health data is treated as sensitive personal data and protected accordingly.
Features that use artificial intelligence, such as the Scribe Pad, produce drafts only. Nothing is saved to a patient record until a dentist reviews and approves it. Clinic data is not used to train general-purpose AI models.
4. Why We Use Your Data
- To respond to your enquiry, arrange a demo and share pricing.
- To provide, support, secure and improve the Cliniqo platform for subscribing clinics.
- To meet legal, tax and regulatory obligations.
We process enquiry data on the basis of the consent you give when you submit the form. You can withdraw that consent at any time by writing to us, and we will stop contacting you.
5. Sharing
We share personal data only with:
- Service providers who host, secure or support our systems, under written confidentiality and data protection terms.
- Messaging partners such as WhatsApp and SMS gateways, where a clinic turns those features on.
- The Ayushman Bharat Digital Mission network and the National Health Claims Exchange, only when a clinic enables those integrations and the patient has given consent.
- Authorities, where the law requires it.
6. Storage and Security
Data is encrypted in transit and at rest and hosted on secure cloud infrastructure with automated backups. Access is role-based and every change is recorded in an append-only audit log. If a personal data breach occurs, we will notify affected clinics, the Data Protection Board of India and affected individuals as the DPDP Act requires.
7. How Long We Keep Data
Enquiry data is kept for up to 24 months after our last contact with you, unless you ask us to delete it sooner. Platform data is kept for as long as the clinic's subscription is active and then returned or deleted as agreed with the clinic, subject to any retention period that law requires for medical or tax records.
8. Your Rights
Under the DPDP Act you may:
- ask for a summary of the personal data we hold about you and how it is used;
- ask us to correct, complete, update or erase your data;
- withdraw consent;
- nominate another person to exercise your rights in case of death or incapacity;
- raise a grievance with us, and then with the Data Protection Board of India if it is not resolved.
9. Children
This website is not meant for children. Inside the platform, clinics record children's data only through a parent or lawful guardian, who gives verifiable consent on the child's behalf as the DPDP Act requires.
10. Grievance Officer
For questions, requests or complaints about personal data, write to our Grievance Officer at privacy@cliniqo.ai. We will acknowledge your message within 72 hours and aim to resolve it within 30 days.
11. Changes
We may update this policy from time to time. The date at the top shows the latest version. Significant changes will be highlighted on this page.
